Excel to PDF

Convert Excel spreadsheet to PDF

Sharing spreadsheets in their native Excel format can cause problems: formatting shifts when recipients have different versions of Excel or different default fonts, formulas and intermediate data are exposed when you only want to share results, and recipients without Excel cannot open the file at all. Converting to PDF solves all of these issues at once. A PDF version of your spreadsheet looks identical to what you see on your screen, regardless of the device or software used to view it. It cannot be accidentally edited, formulas are hidden, and it can be viewed by anyone with any device. LazyPDF's Excel to PDF tool uses LibreOffice to render your .xls or .xlsx spreadsheet with complete fidelity: cell formatting, borders, colors, fonts, merged cells, column widths, row heights, and embedded charts and images are all faithfully reproduced in the output PDF. All sheets in your workbook are included in the output, each starting on a new page. The tool respects your workbook's print settings including page orientation, margins, and scaling, so the PDF reflects exactly how you intended the spreadsheet to be presented. Processing takes place on our secure server over HTTPS, and the original Excel file is deleted immediately after the PDF is returned. This tool is widely used by accountants sharing financial reports, project managers distributing Gantt charts, and sales teams sharing pricing tables with clients who should not have access to the underlying data formulas.

How It Works

Excel to PDF converts your .xls or .xlsx spreadsheet into a PDF document using LibreOffice's rendering engine. The engine opens your spreadsheet, renders all sheets with their formatting, column widths, and cell styles, and exports the result as a multi-page PDF. Processing happens on our secure server.

Frequently Asked Questions

Will formulas and calculations be visible in the PDF?

The PDF shows the calculated values (results) of formulas, not the formulas themselves. This is the same as what you see when viewing the spreadsheet normally. If you need to show formula text, switch Excel to 'Show Formulas' mode before saving and then convert.

What happens with very wide spreadsheets?

LibreOffice will use the workbook's page setup settings (portrait vs. landscape, margins, scaling) to determine how the spreadsheet fits on PDF pages. Very wide tables may be split across multiple pages. For best results, adjust your print settings in Excel before converting.

Are charts and graphs included in the PDF?

Yes. Charts, graphs, and other visual elements embedded in your spreadsheet are rendered and included in the PDF output. They appear in the same position and size as they do in the original spreadsheet.

Can I convert only specific sheets from a workbook?

The current tool converts all sheets in the workbook. To convert only specific sheets, you can save a copy of your workbook, delete the sheets you do not need from that copy, and then convert the modified file. Alternatively, copy the desired sheets into a new workbook before converting.

Does the PDF include row and column headers (A, B, C / 1, 2, 3)?

By default, LibreOffice follows the workbook's print settings. If your workbook is configured to print row and column headers, they will appear in the PDF. If they are not configured for printing (the default in most Excel files), they will not appear in the output PDF.

Can I convert an Excel file with multiple sheets and have each sheet on a separate PDF page?

Yes. Each sheet in the workbook is converted and placed sequentially in the PDF, with each sheet beginning on a new page. The sheets appear in the same order as they are arranged in the Excel file tabs.

What if my spreadsheet has frozen panes or split views?

Frozen panes and split view settings are display preferences in Excel and do not affect the printed or PDF output. The PDF represents the full content of each sheet as it would appear when printed, without any view-related restrictions.
