Excel to PDF

Convert Excel spreadsheet to PDF

Sharing spreadsheets in their native Excel format can cause problems: formatting shifts when recipients have different versions of Excel or different default fonts, formulas and intermediate data are exposed when you only want to share results, and recipients without Excel cannot open the file at all. Converting to PDF solves all of these issues at once. A PDF version of your spreadsheet looks identical to what you see on your screen, regardless of the device or software used to view it. It cannot be accidentally edited, formulas are hidden, and it can be viewed by anyone with any device. LazyPDF's Excel to PDF tool uses LibreOffice to render your .xls or .xlsx spreadsheet with complete fidelity: cell formatting, borders, colors, fonts, merged cells, column widths, row heights, and embedded charts and images are all faithfully reproduced in the output PDF. All sheets in your workbook are included in the output, each starting on a new page. The tool respects your workbook's print settings including page orientation, margins, and scaling, so the PDF reflects exactly how you intended the spreadsheet to be presented. Processing takes place on our secure server over HTTPS, and the original Excel file is deleted immediately after the PDF is returned. This tool is widely used by accountants sharing financial reports, project managers distributing Gantt charts, and sales teams sharing pricing tables with clients who should not have access to the underlying data formulas.

How It Works

Excel to PDF converts your spreadsheet into a multi-page PDF document using LibreOffice's Calc rendering engine. Your .xls or .xlsx file is transmitted over HTTPS to our secure server, where LibreOffice opens the workbook and processes each sheet — rendering cell formatting (borders, fill colors, font styles, merged cells), column widths, row heights, embedded charts, and images. The engine uses your workbook's saved print settings (page orientation, margins, print area, scaling factor) to determine how the spreadsheet flows onto PDF pages. Each sheet is placed in sequence in the output PDF. The server deletes both the uploaded spreadsheet and the generated PDF immediately after the download is delivered to your browser.

Key Features

Complete Cell Formatting

Cell borders, fill colors, font styles, merged cells, and column widths are all faithfully preserved in the PDF output for a professional result.

Supports .xls and .xlsx

Accepts both the modern .xlsx format and the legacy .xls binary format, covering spreadsheets created in any version of Microsoft Excel.

All Sheets Converted

Every sheet in your workbook is converted and included in the output PDF, with each sheet starting on a new page in sequence.

Print Settings Respected

Page orientation, margins, print areas, and scaling configured in your workbook are honored in the PDF output for a print-ready result.

Charts and Graphs Included

Charts, graphs, and visual elements embedded in your spreadsheet are rendered and included in the PDF at their original position and size.

Formula Values Shown

The PDF shows calculated formula values — not the formula text — exactly as you see when viewing the spreadsheet normally.

Secure Processing

Files are transmitted over encrypted HTTPS and permanently deleted from the server immediately after the converted PDF is returned.

Frequently Asked Questions

Will formulas and calculations be visible in the PDF?

The PDF shows calculated values (formula results) — the same as what you see when viewing the spreadsheet normally. Formula expressions are not visible. To show formula text, enable 'Show Formulas' mode in Excel before saving and converting.

What happens with very wide spreadsheets?

LibreOffice uses the workbook's page setup settings (portrait/landscape orientation, margins, print scaling) to fit the spreadsheet onto PDF pages. Very wide tables may split across multiple pages. For best results, configure your print settings in Excel before converting — particularly page orientation and fit-to-page scaling.

Are charts and graphs included in the PDF?

Yes. Charts, graphs, and other visual elements embedded in your spreadsheet are rendered and included in the PDF at the same position and size as in the original spreadsheet.

Can I convert only specific sheets from a workbook?

The current tool converts all sheets. To convert specific sheets only, save a copy of your workbook, delete unwanted sheets from that copy, then convert the modified file. Alternatively, copy the desired sheets into a new workbook before converting.

Does the PDF include Excel row and column headers (A, B, C / 1, 2, 3)?

LibreOffice follows the workbook's print settings. If the workbook is configured to print row and column headers, they appear in the PDF. If not configured for printing (the default in most Excel files), they do not appear.

Can each Excel sheet appear on a separate PDF page?

Yes. Each sheet in the workbook is placed sequentially in the PDF, with each sheet starting on a new page. Sheets appear in the same order as the tabs in the Excel file.

What if my spreadsheet has frozen panes or split views?

Frozen panes and split view settings are display-only preferences and do not affect the printed or PDF output. The PDF shows the full sheet content as it would appear when printed, without any view restrictions.

Why convert Excel to PDF instead of printing directly?

PDF output is shareable across all platforms and devices without requiring Excel to be installed. Recipients cannot accidentally edit a PDF, formulas are hidden (showing only values), and the file looks identical on any screen or printer regardless of the local fonts or Excel version.

Can I convert Google Sheets to PDF using this tool?

This tool accepts .xls and .xlsx files. To convert a Google Sheet, download it as an .xlsx file first (File > Download > Microsoft Excel), then upload that file here for conversion to PDF.

Is there a sheet count limit for Excel to PDF conversion?

No. Workbooks with any number of sheets are fully supported. Each sheet becomes a new section in the output PDF. Workbooks with dozens of sheets may take a few extra seconds to process but are not subject to any sheet count restriction.
